Shift 1: Humanize AI (Technology → Team) Shift 2: Systematize your work (Human Tasks → Operating System) ✏ What is your personal operating system?Your operating system is the complete view of how your work actually flows (not your role description, not the org chart), but the real thinking processes and workflows that move your work from start to finish. Most of us have never mapped it. We just execute. Here’s what I see constantly: people live in task mode. Checking off lists (emails, meetings, approvals, data). They confuse role descriptions with systems. “I lead marketing” isn’t a system. It’s a label. The real problem? You can’t optimize what you can’t see. You can’t redesign what you haven’t mapped. So here is mine: I created it at the end of 2023, 6 months after starting to work with AI, because it had become a mess 😅. Without that, I would not have the discipline and structure I have now. ✏ Why you need this mapReason 1: See where to add GenAI for maximum impact When you map your operating system, you finally see which workflows drive real value and which are necessary but low-impact. You stop guessing where AI could help and start knowing exactly where to deploy it strategically. Reason 2: See your current role design so you can redesign with GenAI This is the most important part. AI augmentation isn’t about doing your job faster. It’s about job redesign. But you can’t redesign what you don’t see.

So let's dive into your operating system. ✨ HACKHere are four steps to map your operating system and start your redesign. Step 1: Ask Yourself the System QuestionsBefore you draw anything, reflect on how you actually work:
Spend 20 minutes. Write freely. Capture what’s true about your current system. Step 2: Reflect on what to stop and what “Impact” meansGet honest: What should you stop doing? What adds zero value but persists out of habit? What does “impact” really mean in your role? Revenue? Client satisfaction? Team development? How do you measure success? System thinking forces clarity: If it doesn’t connect to impact, it doesn’t belong in your operating system. Step 3: Draw your operating system map (Grab paper & pen!)A good leader is poetic enough to set a vision that people want to follow, but they can also build the systems to deliver against that.

So you need to map your system first. Paper and pen. Not digital yet please !! Start clustering your work into 4-7 main “pods” or “buckets” = your core impact. Draw a bubble for each pod. The goal isn’t perfection—it’s seeing the system emerge. Once you cluster your work this way, patterns appear you’d never see looking at individual tasks.
Step 4: Add your AI teamOnce you have your map, add where you use AI strategically. I like to add my main assistants and other AI-specific tools I use. It helps me remember which assistant is available when I perform a certain task. You can even map the workflow. That’s it for today.
